A monthly Transport Manager quote does not always show the full cost of starting, running and ending the appointment. Ask for a written breakdown of the recurring fee, any initial work and charges that apply only when extra support is needed.
Separate the monthly fee from initial work
The recurring fee should state the management time, visits and responsibilities covered. Initial work may involve reviewing records, setting up reporting arrangements or helping prepare appointment information. Ask whether these tasks are included, charged once or billed by the hour.
- Setup: What will be checked or put in place before regular management begins?
- Nomination support: Who prepares the appointment information, and is that work included?
- Initial audit: Will you receive written findings and an action list, or only a general review?
- Travel and visits: How many visits are included, and what happens if extra attendance is needed?
- Software: Are analysis tools, licence checks or system subscriptions billed separately?
Appointment charges are not regulatory approval
Paying for help with a nomination does not approve the Transport Manager. The operator must follow the relevant appointment process. Check who will supply the professional-competence evidence and proposed hours, respond to questions and confirm the outcome before relying on the appointment. See the official appointment guidance.
Agree notice and handover terms before signing
Ask when charging starts, the minimum term, the notice required by either party and whether any initial payment is refundable. Check how fees change if you add vehicles or operating centres, need extra visits or pause work. Set out how records, open actions and access to systems will be handed over if the appointment ends.
A notice clause in the commercial contract does not replace the operator’s licensing obligations. The agreement needs to explain how both parties will deal with the end of the appointment and any required notifications. Read the Transport Manager contract guide alongside the proposed terms.
Compare the first invoice and the ongoing bill
Ask each provider for two totals: the expected first invoice, including any setup or review, and the ongoing monthly amount for the agreed work. Keep any optional audit, travel and software charges visible. Compare the pricing models and request quotes against the same requirements so you can see what you would receive.
