What to include in a request

Give the legal entity, operator licence number and licence type if already held. Add the number and type of vehicles and trailers, operating-centre locations, typical loads, maintenance arrangements and whether the work is national or international. Say whether you need a formal nomination, a compliance audit, temporary support or an ongoing consultancy arrangement.

Be open about any deadline, application query, DVSA visit, maintenance concern, infringement trend or Traffic Commissioner correspondence. Suitable members need that context to judge whether they have the time, location, experience and remaining operator and vehicle capacity to help.

Check the proposed arrangement

Before choosing a transport manager, check identity, CPC evidence, current professional development, good repute, other operator commitments and relevant sector experience. Discuss the working hours, operating-centre visits, access to records and authority to stop vehicles or require corrective action.

An external transport manager may normally manage no more than four operators with a combined authorised fleet of no more than 50 vehicles. A Traffic Commissioner may allow a different arrangement where the applicable legal conditions and evidence justify it. Those numbers are a ceiling, not a promise that every appointment below them is workable. A small but troubled fleet may require more time than a larger operation with strong supporting staff and clean systems.
